The role entails providing secretarial and administrative support to senior management and acting as an informed deputy. Candidates with secretarial work experience of 4 to 7 years should apply for this position

 

  • Primary responsibilities:
  • Manage calendars, coordinate and update daily appointments using own judgement in the absence of direct instructions
  • Anticipate, plan and ensure meticulous travel arrangements – which are often complex and highly flexible
  • Produce and proofread correspondence and documents to ensure they adhere to the firm format
  • Maintain a very high level of confidentiality
  • Make judgements on prioritizing incoming mail
  • Handle business-personal tasks (e.g., personal records, expense claims, taxes, credit card and bank work, social clubs, frequent flyer accounts, etc.).
  • Maintain easily accessible electronic and paper files, including keeping all relevant databases up to date
  • Demonstrate strong interpersonal skills and ability to build  successful working relationships within the firm and with client offices
  • Demonstrate an energetic, proactive and positive approach and willingness  to support other teams and colleagues as and when require

Required skill and expected work attitude:

  • Excellent written and oral communications skills
  • Working knowledge of Windows with emphasis on Word, Excel, PowerPoint and Louts Notes (Outlook is acceptable)
  • Sufficient knowledge of all travel related services – air & train tickets, hotels, cars, passports, visas, foreign exchange and international credit cards
  • Ability to plan, organize and execute major meetings and conferences, involving multiple international time zones and cultures, in a calm and professional manner
  • Professional phone presence.  Handle calls promptly, take accurate messages and, if required, respond appropriately
  • Ability to use sound judgment to make decisions and a pragmatic approach to problem solving. 
  • Ability to multi-task effectively and collaboratively in a deadline driven, high pressure environment with a high tolerance for ambiguity and last minute changes
